If you have never booked a professional baby shower stylist before, it can be hard to know what you are actually paying for. What does “styled” mean in practice? What arrives on the day, who sets it up, and what do you need to organise separately? These are the questions almost everyone asks before their first enquiry — and they are entirely reasonable ones.
This guide explains what a professional styling package typically covers, what is usually left to you, and how to think about which tier of service makes sense for your celebration. We have written it as honestly as we can, because the more clearly you understand what you are getting, the more likely you are to be genuinely happy with the result.
What “Styled” Actually Means
There is a meaningful difference between decorating a room and styling a celebration. Decorating is putting things in place. Styling is designing how everything works together — the colours, the heights, the textures, the proportions — so that the finished result looks considered rather than assembled.
A professional stylist does not just deliver balloons and a backdrop. They make decisions: which elements sit at which height, how the garland flows around the backdrop, where the florals are placed, how the dessert table is layered so it reads as a whole rather than a collection of individual things. Those decisions are what you are paying for as much as the physical elements themselves.
The result is a setup that holds together visually, photographs well from multiple angles, and looks like something you could not have put together yourself in a couple of hours — because it genuinely could not be.
What a Package Typically Includes
The backdrop
The backdrop is the vertical structure that anchors the setup and creates the photo area. For most baby shower packages, this is a curved or straight sailboard panel, sometimes two panels side by side for larger setups. It provides height, gives the garland something to hang from and frames the cake table in front of it.
Most packages include personalised wording on the backdrop — “Oh Baby”, “A Little Love is on the Way”, or the guest of honour’s name. The font and colour of that wording should match the palette of the setup. If a package does not include personalisation, it is worth asking why, because a generic backdrop significantly reduces the “made for you” quality of the result.
The balloon display
The balloon garland is usually the most visually dominant element. A well-made organic garland — flowing, full, with varied balloon sizes — frames the backdrop and gives the setup its signature look. It should feel natural and considered, not stiff or symmetrical.
Balloons are inflated, arranged and installed by the stylist. You should not need to touch them. The colour mix within the garland is agreed during your consultation so that it matches the rest of the setup — the florals, the cake, the signage, all of it. Plinths and props
Plinths are the cylindrical or square stands that create height variation in front of the backdrop and on the dessert table. Without them, even a well-stocked table reads as flat. A good package includes at least two or three plinths at different heights, positioned to frame the cake and create a sense of depth.
Props beyond plinths vary by package tier and stylist. A teddy bear, a glass vase, a lantern, a small decorative tray — these are the finishing touches that move a setup from styled to beautifully styled. They are worth asking about specifically when comparing packages.
Personalised signage
A framed or acrylic sign with the guest of honour’s name, a welcome message or a theme-relevant phrase makes the setup feel genuinely made for the person being celebrated. It is a small detail that makes a significant difference in photographs and in the experience on the day.
Most professional packages include at least one personalised sign. Some include an additional table sign or easel. If signage is not mentioned in a package description, it is worth asking about, as it is one of the elements that most clearly distinguishes a styled setup from a hired-in one.
Florals and greenery
Florals are what make a balloon display feel styled rather than decorative. Soft stems woven through the garland, a small arrangement on a plinth, a few flowers at the base of the backdrop — each of these adds texture and warmth that balloons alone cannot provide.
Florals in a styling package are usually artificial but high quality, chosen to match the colour palette. Real florals are sometimes available as an upgrade but add cost and require more planning around venue and logistics. Either way, the presence of florals in a package is usually a good indicator of the overall quality of the finish.
Setup, installation and collection
A professional package includes the stylist arriving at the venue before guests, setting up the entire display and leaving before the event begins. This is not a small thing. Setup for a full Signature or Grand Luxe package can take two to three hours. That time, and the skill required to fill it well, is part of what you are paying for.
Collection — returning to dismantle and take away the display — is also included in most packages. You should not need to organise storage or return of any hired elements yourself. If a package requires you to return items or arrange your own collection, factor that into your comparison.
What is not usually included
Being honest about this matters, because surprises after booking are never welcome. A professional baby shower styling package covers the visual installation — the backdrop, balloons, plinths, florals, signage and dressing of the space. It does not cover everything else that goes into a baby shower.

Catering, entertainment, favours and tableware are all separate. A styling package creates the look of the celebration — food, drink and activities are organised independently.
Venue hire and parking are separate. Your stylist will need access to the venue before guests arrive, but any venue fees are your own arrangement with the venue directly.
Why Packages Come in Tiers
Most professional styling services offer packages at different price points, and the difference between them is not simply more balloons. The key variables are guest numbers, the physical scale of the setup, the number of elements included and the time required for installation.
A smaller package — designed for an intimate gathering of fifteen or twenty guests — focuses the styling on one key area: the backdrop, garland and cake table. It creates a beautiful focal point without needing to fill a larger space. A mid-tier package for forty guests extends that styling further, adding more backdrop presence, a fuller garland and additional table dressing. A larger package for sixty, seventy or eighty guests requires a more substantial installation across a wider space, with greater height, more elements and more setup time.
Price differences between tiers reflect the materials, the installation time and the physical scale of what is being created — not an arbitrary jump in cost for the same work. A stylist who is transparent about why tiers are priced as they are is usually one who is confident in the value they deliver.

How to Choose the Right Tier
The most useful starting point is your guest number and your venue. A smaller, intimate space does not need a Grand Luxe installation — it would overwhelm the room rather than enhance it. A larger function suite with high ceilings and open floor space needs sufficient scale to avoid looking lost.
Beyond numbers and space, think about what the celebration means to the person being honoured. A first baby shower for a close friend or family member is often an occasion where investing in the full experience feels right. A more casual gathering might be served just as well by a focused, beautifully done Mini setup.
The best approach is always to have a conversation. Any professional stylist should be willing to talk through your space, your guest numbers and your vision before recommending a tier. If a package is being pushed on you without that conversation, that tells you something about how the rest of the process is likely to go.

Is personalised wording on the backdrop included? Are florals real or artificial, and can I upgrade? How long does setup take, and when do you need access to the venue? Is collection included, and if so, when do you return? What happens if I need to change the date?
